
Buying stainless steel instrumentation tubing involves more than choosing a grade and requesting a price per metre. A tube can look correct on a quotation yet arrive with the wrong outside diameter, unsuitable delivery condition, or documentation that cannot be matched to individual bundles. These differences matter when the material must connect to precision fittings or follow a compact installation layout.
This guide helps procurement teams turn an approved engineering requirement into a clear stainless steel tube enquiry. It focuses on information that suppliers can quote and receiving teams can check, helping buyers compare offers before committing to an order.
Start with the service and approved tubing specification
Identify the intended service: an instrument air connection, hydraulic control circuit, sampling line, or another defined application. Include the process medium, operating and design temperatures, design pressure, and relevant environmental exposure in the enquiry package. The responsible engineer should approve material selection and the pressure boundary requirements before purchasing.
A description such as “316 stainless steel tube” does not establish suitability for every fluid or installation. Ask for the exact grade designation, applicable product specification and edition, manufacturing route, and delivery condition required by the project. If an alternative is proposed, request a separate technical deviation statement. Commercial availability should not silently change the approved specification.
Specify outside diameter and wall thickness without ambiguity
For instrumentation tubing, state the actual outside diameter and wall thickness together, with units. Avoid using a nominal pipe description as a substitute. A fractional tube size and a nearby metric size may appear similar but should not be treated as interchangeable when selecting fittings.
For example, an enquiry might identify “12 mm outside diameter × 1.5 mm wall thickness” as an illustrative dimensional format. This example is not a pressure rating or a recommended size for a particular service. Add the required dimensional tolerances, straight lengths or coils, and whether the wall requirement is nominal or minimum under the selected specification.
Quantity also needs a clear basis. State the number of lengths and their length, or the total metres and acceptable length range. If installation drawings demand continuous runs, identify minimum usable lengths so a low-cost offer does not create additional joints or excessive offcuts.
Confirm compatibility with the selected fitting system
The tube and fitting need to work as a system. Give the supplier the approved fitting manufacturer’s tubing requirements, including any restrictions on hardness, wall thickness, outside diameter tolerance, and surface condition. Do not assume that a stainless steel grade designation alone proves compatibility.

Use the applicable manufacturer’s current guidance for the actual combination being purchased; a table for one material, dimension, or temperature is not a universal rating.
Ask bidders to confirm compliance explicitly and identify any missing evidence. Where the fitting documentation requires annealed tubing or a hardness limit, make that requirement part of the purchase order. Final pressure suitability must account for the complete assembly and service conditions, rather than relying on a tube’s description in a stock list.
Agree on surface condition, cleanliness, and end protection
External surface damage near a fitting connection deserves particular attention. Request an agreed inspection approach for scratches, dents, and other imperfections, referencing the product specification and fitting requirements. A bright appearance alone does not establish acceptable dimensions, cleanliness, or mechanical condition.
Describe the required internal cleanliness according to the service. General industrial tubing should not be assumed to arrive ready for oxygen service, high-purity sampling, or another application with special cleaning requirements. Where additional cleaning is necessary, specify the procedure, acceptance evidence, packaging, and responsibility for maintaining cleanliness after opening.
State how tube ends should be delivered and protected. End caps, separate packing by size and heat, and supports that prevent transport damage can be included as quotation line items. If the supplier cuts lengths, clarify deburring and cleaning requirements so cutting debris does not become an unplanned site task.
Make inspection documents traceable to the delivered material
Specify the required inspection certificate type and contents before ordering. Ask how heat identification will be maintained between the certificate, product marking, bundle labels, and packing list. For cut pieces, agree on an identification method that preserves traceability without interfering with the intended use.
List any required dimensional inspection reports, mechanical test results, or supplementary examinations, with their acceptance criteria and scope. Avoid a vague request for “all testing”: it leaves bidders to make different assumptions and can increase cost without improving acceptance certainty.
If third-party inspection is required, establish the hold point and notification period before dispatch. Request a sample document package early when possible. Finding an unacceptable certificate format after packing can delay shipment even when the physical tubing is ready.
Compare quotations on a complete supply basis
Build a comparison sheet covering grade, specification, dimensions, tolerances, delivery condition, lengths, quantity, documentation, packing, and exceptions. Require each bidder to distinguish confirmed compliance from items still awaiting mill or stock verification.
Separate material price from optional cutting, cleaning, inspection, export packing, and freight. State the Incoterms rule, named place, and edition requested, and compare delivery commitments on the same basis. “Available” may mean unverified stock, while a dispatch date may still depend on inspection release.
Agree on quantity tolerances and how invoiced metres will be established. Include a receiving procedure for checking labels, dimensions, visible damage, and documentation before installation. These practical details make a quotation easier to evaluate and give both parties a clear basis for resolving discrepancies.
